Flooring Quotation PDF: Measurements, Materials and Installation
September 26, 2026
A flooring quotation PDF should distinguish the area being covered from the quantity of material being supplied. Those figures are not always identical. Material may be purchased in whole packs, and the agreed layout may require an allowance for cutting.
Use the quote PDF generator to show the product, supply quantity and installation work in separate rows. The customer should be able to see what is included without working backwards from one unexplained total.
Confirm the room and measurement basis
Record the project address, rooms covered and measurement units. Identify whether the dimensions come from your site measurement or from information supplied by the customer. A quote based on unverified dimensions should explain what must be confirmed before the order proceeds.
Do not confuse square metres with linear metres. Flooring area, edging length and threshold quantities use different units. Put the unit into each item description so that a quantity such as 24 is not left open to interpretation.
Separate coverage from purchasing quantities
Suppose the measured installation area is 24 square metres. For this particular worked example, the agreed supply allowance brings the material quantity to 26.4 square metres. The extra 2.4 square metres is an illustrative project assumption, not a universal allowance suitable for every product or layout.
If the product is sold only in whole packs, calculate the actual pack quantity before presenting the final supply price. State the coverage per pack and the resulting total. Do not quote a fractional supply quantity that your purchasing arrangement cannot provide.
Worked flooring quotation
This example assumes material can be supplied at the quantities shown. All amounts are illustrative USD prices before tax.
| Item | Quantity | Rate (USD) | Amount (USD) |
|---|---|---|---|
| Specified flooring, supply quantity | 26.4 m² | 25 | 660 |
| Installation, measured floor area | 24 m² | 15 | 360 |
| Agreed threshold strips | 2 | 20 | 40 |
| Total before tax | 1,060 | ||
The material and labour quantities differ deliberately. Material supply is USD 660, installation is USD 360 and thresholds add USD 40. Confirm whether your actual installation agreement uses measured area, a fixed project fee or another basis.
Define preparation and removal work
Specify whether the price includes removing existing flooring, moving furniture, disposing of waste, preparing the underlying surface and fitting trims. “Installation included” does not explain all of those tasks.
Where a site condition remains unknown, describe the assumption and the process for agreeing additional work. For example: “Price assumes the existing floor is ready for the specified installation; any additional preparation will be assessed and quoted before proceeding.” Use wording that accurately reflects your own service and assessment.
Identify the product and approval points
Record the selected product, colour, finish and any relevant reference. Confirm who approves substitutions if availability changes. A general phrase such as “wood-effect flooring” is unlikely to distinguish between several products with different prices.
Add the quotation number, date, validity period and proposed scheduling basis. Explain which decisions must be final before materials are ordered. Payment stages should relate to the agreement, with clear amounts or percentages and the events that trigger them.
Check the quotation PDF
Before generating the PDF, review units, pack rounding, quantities, currency and the total. Read the scope and exclusions together to make sure they do not contradict each other. Reopen the saved document and check that the item table is readable.
When it is time to bill for agreed work, the invoice PDF generator can produce a separate payment document using the confirmed scope and relevant quotation reference.
Frequently asked questions
Should installation use the supplied material quantity?
Use the agreed pricing basis. In this example, installation uses the measured floor area rather than the larger material supply quantity.
Is one cutting allowance suitable for every job?
No. Product format, layout and supplier pack sizes can change the quantity needed. Confirm the project-specific calculation.
