Social Media Management Invoice Template and Monthly Example
September 20, 2026
A social media management invoice should show the service period, the accounts covered and the deliverables included. “Monthly social media fee” may be enough for a familiar client, but a more specific description helps when a new approver or finance team checks the bill.
The most important distinction is between your management fee and money spent on advertising. They are different charges and should not be blended into a single unexplained total. Use the agreement to decide which costs you invoice and which the client pays directly.
Start with the monthly scope
- Billing period, such as 1–31 October, and the client project reference.
- Platforms covered and the number or type of deliverables.
- Whether scheduling, community management and reporting are included.
- Any separately approved content production or urgent work.
- Payment due date, invoice number, currency and billing contact.
For example, “October management: 12 feed posts, four short videos, scheduling and one performance report across two agreed accounts” tells the client much more than “marketing services”. Do not promise outcomes such as a guaranteed number of sales on an invoice.
Social media invoice example
The following fictional example excludes tax. The client pays advertising platforms directly, so advertising spend is not included in the amount requested.
| Service | Basis | Amount |
|---|---|---|
| October management package | Agreed monthly fee | $800 |
| Two additional short videos | 2 × $75, approved 10 October | $150 |
| Extra product photography session | Approved fixed fee | $200 |
| Total services due | $1,150 | |
| Advertising budget | Client pays platform directly | Not billed |
The service total is $800 + $150 + $200 = $1,150. If you paid an approved expense on the client’s behalf, explain it separately and retain evidence. See how to invoice reimbursable expenses for a clearer way to document those amounts.
Separate routine work from additions
Keep a simple scope log during the month. Record the date, the requested extra, the price and the client’s approval. At billing time, transfer only approved chargeable additions to the invoice. Extra revisions, weekend cover or additional video edits should not appear as surprise fees.
A client may swap one deliverable for another within the same package. That does not automatically justify another charge. Check whether the swap changes the agreed workload or price, and document the outcome before invoicing.
Explain service periods and payment timing
Some retainers are billed before the service month; others are billed after delivery. Either way, show the service period separately from the invoice date and due date. This avoids confusion when an invoice raised in September covers October services.
If the same arrangement repeats, recurring invoicing can provide a useful routine. Still review each bill for changed scope, paused services or approved additions. Repeating the previous invoice without checking it can carry mistakes into the next month.
Example email to accompany the invoice
“Hi Alex, attached is invoice SM-041 for October social media management. The total is $1,150, including the two additional videos and photography session approved this month. Your advertising platform charges are paid directly and are not included. Payment is due on 7 November. Please let me know if your finance team needs the project reference updated.”
Attach the invoice and, if useful, a short delivery summary. A performance report can demonstrate work completed, but the invoice should remain understandable without opening a large presentation.
Frequently asked questions
Should advertising spend be on my invoice?
Only when your arrangement makes you responsible for billing or recovering it. If the client pays the platform directly, identify that clearly and do not collect it again.
Can I invoice a monthly package before delivery?
Yes, when advance billing is agreed. Clearly state the future service period and payment due date.
Should every post have its own line?
Not for a fixed package unless the client needs that detail. Summarise the agreed package and list approved extras separately.
Prepare the PDF with the invoice generator and use your agreed payment terms consistently.
