How to create an invoice PDF

  1. Add the seller and customer. Use the names and addresses that should appear on the document. Add your contact details and a logo if you wish.
  2. Set the invoice details. Enter a unique invoice number, select the currency and check the issue and due dates. Use a purchase order number when your customer needs one.
  3. List the work or products. Give each item a useful description, quantity and price before tax. For hourly work, enter the hours as the quantity and your hourly price as the rate.
  4. Review adjustments. The generator allocates the discount proportionally across items, then calculates each item’s tax. The additional charge is added after tax. For taxable shipping, add a line item with its own tax rate.
  5. Preview and save. Select “Preview & save PDF”, check the printable invoice, then select “Print / Save as PDF”. Choose Save as PDF in the browser’s destination menu. Switch off browser headers and footers for a cleaner document.

Check before you send

Confirm the customer name, invoice number, currency, payment deadline and payment instructions. Use clear item descriptions so the customer can match the bill to the agreed work. Keep your own copy: this generator does not keep invoice history or email invoices for you.

Understand the example

A $500 service with a 10% discount leaves $450 before tax. At an illustrative 18% rate, tax is $81 and the final total is $531. The rate is an example, not a recommended rate. Check the requirements that apply to your business; this is a general document tool, not a tax filing system.

Does it download a PDF immediately?

It opens a printable preview in a new tab. Select “Print / Save as PDF” and choose your browser’s PDF destination. If the preview does not open, allow this site to open the preview window and try again.

Can I add a logo, discount and tax?

Yes. Upload a PNG, JPG or WebP logo up to 2 MB, choose a fixed or percentage discount, and set a tax percentage for each line. Tax is calculated after the discount. The additional charge field does not calculate tax.

Are my invoice details saved?

The generator keeps entries in the current page only; it has no upload or account-storage feature. Refreshing or closing the page clears the entries. Save your PDF first. The website’s other services, including advertising or analytics, are covered by its privacy policy.

Will changing the currency convert my prices?

No. The currency selector changes the display currency, not the exchange rate. Enter prices in your chosen currency. Yen amounts use zero decimal places; the other supported currencies use two.

Does it meet every country’s invoice rules?

No universal template can cover every requirement. Check the required wording, tax registration details, numbering and tax treatment for your situation before using the invoice.
