How to create a quotation PDF
- Introduce your business. Add your trading name, address and contact information so the customer knows who prepared the quote. Add a logo if useful.
- Identify the customer and quotation. Enter a unique quote number and issue date, then choose how long the proposed prices remain valid. Use the reference field for a project name or enquiry number.
- Define the proposed work. Describe each product or service clearly. For time-based work, enter hours as the quantity and your hourly price as the rate. Prices should be before tax.
- Check the total. Discounts are allocated proportionally across the items before line taxes are calculated. The additional charge is added after tax; list taxable delivery as a separate item with its tax rate.
- Set terms and save. Explain the scope, exclusions, delivery timing, deposit and acceptance process. Select “Preview & save quote PDF”, then use “Print / Save as PDF” in the preview and choose your browser’s PDF destination.
A simple quotation example
A service priced at $500 with a 10% discount has a discounted value of $450. An illustrative 18% tax adds $81, making the total $531. Use tax rates appropriate to your situation; this sample rate is not a recommendation.
Make the scope clear before you send
A useful quotation tells the customer what is included, what is excluded, and what could change the price. For example, a design quote might specify the number of pages and revision rounds. Add a clear validity date and describe how the customer should accept your proposal. Save your own PDF copy to keep a record of the version you sent.
Turn an accepted quote into an invoice
Choose “Create invoice from quote” to reuse the customer details, logo, items, currency and totals. Enter an invoice number, issue date and due date, then open the invoice preview. Review the terms first: proposal wording may need to become payment instructions. The original quotation remains on this page until you clear or close it.

Quotation generator FAQs
Is this quote to PDF generator free?
Yes. You can prepare, preview and save a quotation without registering for an account.
What is the difference between a quote and an invoice?
A quotation sets out a proposed price and scope. An invoice requests payment for goods or services being billed. Choose the document type that matches the stage of your work.
How do I download the quotation?
Open the quotation preview, select “Print / Save as PDF” and choose Save as PDF in your browser’s destination menu. Disable browser headers and footers for a cleaner document. If the preview is blocked, allow this site to open its preview window.
Can I add a logo, discount or tax?
Yes. Add a PNG, JPG or WebP logo up to 2 MB, set a fixed or percentage discount, and enter a tax rate for each item. Tax is applied after the discount. Additional charges do not have tax calculated automatically.
Will changing currency convert my prices?
No. The selector changes the currency shown on the document; it does not convert prices using an exchange rate. Enter all prices in your chosen currency. JPY totals use zero decimal places; the other supported currencies use two.
Are my quotations saved automatically?
No. Entries stay only in the current page. The generator does not upload them or maintain a quotation history. Save the PDF before you refresh or close the page. Consult the site privacy policy for information about advertising, analytics and other website services.
Can I create an invoice without retyping everything?
Yes. Use “Create invoice from quote”, enter the invoice dates and number, and review the resulting invoice preview before saving. Your quote fields remain available on the page.
