Virtual Assistant Invoice Template: Hours, Tasks and Packages
September 20, 2026
A virtual assistant invoice works best when the client can connect the amount charged to the support received. You do not need to list every email you sent, but you should identify the billing period, task categories and pricing basis.
For hourly work, your invoice should agree with your time records. For a support package, it should describe the agreed package rather than suggesting that every task is an additional charge. Decide that distinction before the billing period begins.
Hourly billing versus a support package
| Arrangement | What the invoice shows | Useful support |
|---|---|---|
| Hourly assistance | Hours × agreed rate, grouped by task | Dated time log |
| Fixed monthly package | Package fee and included scope | Monthly task summary |
| Prepaid hours | Hours purchased and service period | Opening, used and remaining hours |
| Approved extra work | Separate description and agreed fee | Client approval reference |
A package with a maximum number of hours is different from unlimited availability. Make the limit, response times and treatment of unused hours clear in the service agreement. For broader basics, see how to invoice as a freelancer.
Virtual assistant invoice example
Assume an assistant charges $25 per hour and bills for completed October work. These fictional figures exclude tax.
| Task category | Hours | Rate | Amount |
|---|---|---|---|
| Inbox and calendar administration | 6 | $25 | $150 |
| Customer support responses | 8 | $25 | $200 |
| Data entry and record updates | 4.5 | $25 | $112.50 |
| Total | 18.5 | $462.50 |
The hours total 6 + 8 + 4.5 = 18.5, and 18.5 × $25 = $462.50. Notice that 4 hours 30 minutes is 4.5 hours, not 4.30 hours. Converting minutes incorrectly can understate or overstate the invoice.
Keep the time log useful and discreet
Record the date, task category, time spent and a short project reference. “Customer inbox support — October week 2” usually provides enough billing context without copying private customer messages into an invoice. Keep detailed client information within the agreed secure workspace.
Separate billable client work from your own administration. Preparing your business marketing or correcting your own time records is not automatically chargeable to the client. Follow the agreement for meetings, training, waiting time and research rather than assuming all recorded time is billable.
Handle a monthly cap before it is exceeded
If the client approves up to 20 hours each month, monitor the remaining allowance during the month. When 18 hours are used and a new task is likely to require four more, request approval for the extra time before proceeding. The invoice can then identify the approved overage.
For example: “October support package, up to 20 hours: $500. Additional two hours approved on 27 October: $50.” Do not also bill the first 20 hours again as separate task charges. Task summaries can explain the package without increasing the total.
Make payment and references easy to find
Include your unique invoice number, client billing details, service period, invoice date, due date and currency. Add any client purchase-order number and the payment reference you want used. Check your invoice payment terms match the service agreement.
If the client asks for expenses to be reimbursed, list only approved amounts and attach suitable supporting documents. Read the reimbursable expenses guide before mixing third-party costs with your labour fee.
Frequently asked questions
Should I attach a timesheet?
For hourly billing, a concise timesheet is helpful and may be required by the client. For a fixed package, a task summary may be more appropriate.
Can unused prepaid hours roll over?
Only under the agreed terms. Show the opening allowance, hours used and remaining balance so both parties can check it.
Can I invoice weekly?
Yes, if agreed with the client. Keep the weekly service periods distinct to avoid overlapping charges.
Create the final document with the invoice generator and compare it with your time log before sending.
