Tutoring Invoice Template: Lesson Dates, Packages and Payments

September 20, 2026

A tutoring invoice should help the person paying recognise the lessons being billed. The student, parent, employer or school may not all be the same person, so confirm who should receive the invoice and which billing details to use.

Show the subject, lesson dates, duration and agreed rate. Keep learning assessments and sensitive student information out of the billing document unless genuinely necessary. The purpose is to explain the charge, not reproduce the student’s teaching record.

What belongs on a tutoring invoice?

  • Tutor or business name and contact details.
  • The responsible payer’s billing details and an appropriate student reference.
  • Invoice number, invoice date, due date and currency.
  • Subject, lesson dates, duration and rate or package description.
  • Any agreed materials charges, payment already received and balance due.

Use the general invoice checklist for the standard fields. If a school needs a purchase order or department code, obtain it before sending the invoice.

Monthly tutoring invoice example

In this fictional example, a tutor bills three one-hour maths lessons and one 90-minute revision session at $30 per hour. Tax is excluded from the arithmetic; actual treatment depends on the service and applicable rules.

LessonDurationRateAmount
Maths lesson — 3 October1 hour$30/hour$30
Maths lesson — 10 October1 hour$30/hour$30
Maths lesson — 17 October1 hour$30/hour$30
Revision session — 24 October1.5 hours$30/hour$45
Total lessons4.5 hours$135
Payment received — 15 October−$60
Balance due$75

The total is $135, and the recorded $60 receipt leaves $75 to pay. Do not mark the invoice fully paid until the remaining payment has been received and matched.

Billing for a prepaid lesson package

A prepaid package needs a clear distinction between selling the package and recording its use. If the client has already paid for five lessons, the next lesson-use summary should not look like a second request to pay for those same five lessons.

For example: “Five-lesson package purchased: 5. Lessons used this month: 3. Lessons remaining: 2.” If a new package is being purchased, issue the appropriate invoice for that new purchase and reference the agreed package conditions. State any agreed expiry or rollover terms when the package is offered.

Cancellations and rescheduled sessions

Keep an attendance record that distinguishes completed, cancelled and rescheduled sessions. A moved lesson should not appear twice merely because it existed on two calendar dates. Use the actual lesson date or a reference connecting the rescheduled booking.

If a cancellation charge is applicable under the agreed terms, identify it as a cancellation charge rather than a lesson delivered. Do not invent a fee after a cancellation or assume the same rule applies in every location. Resolve questions with the payer before the invoice becomes a dispute.

Simple wording to send with the invoice

“Hi Morgan, attached is invoice TU-018 for October maths tuition. The lesson total is $135. Your $60 payment on 15 October has been applied, leaving $75 due by 5 November. Please use TU-018 as the payment reference. Let me know if you would like a copy of the lesson-date summary.”

For regular tuition, agree whether you bill per session, weekly or monthly. A predictable schedule helps the payer plan and reduces uncertainty. See recurring invoices and payment terms examples for ways to explain the arrangement.

Frequently asked questions

Should the invoice be addressed to the student or parent?

Address it to the person or organisation responsible for payment. Add a suitable student reference where needed to identify the lessons.

How do I bill a 45-minute lesson at an hourly rate?

Convert 45 minutes to 0.75 hours, then multiply by the agreed hourly rate. A fixed session price should instead use that agreed price.

Can I combine several lessons in one invoice?

Yes. List their dates and durations, or attach a clear lesson summary, and avoid overlapping billing periods.

Enter your lesson details into the invoice generator and review the PDF before sharing.
