Signage Quotation PDF: Sizes, Artwork and Installation Scope

September 26, 2026

A signage quotation PDF should explain exactly what will be produced and how the finished signs will reach their intended location. A price for “two signs” is difficult to assess when dimensions, material, artwork and installation are still unclear.

Use the quote PDF generator to separate production, design preparation and installation where they carry different charges. Put the product specification into the description rather than relying only on a picture or an informal conversation.

Write a specification the customer can recognise

For each sign type, state quantity, width, height, units and material. Clarify whether printing is single-sided or double-sided and identify the agreed finish. If several signs differ in size or construction, give each specification its own row.

Be consistent with measurements. A width of 1200 millimetres is 1.2 metres; a missing unit can create a major misunderstanding. Reference the approved drawing or artwork version where available, and make sure the quoted dimensions match that reference.

Separate artwork preparation from production

Explain who supplies the artwork and what preparation is included. Resizing a print-ready file is different from creating a logo or designing a complete layout. State the number of design concepts or revision rounds included when those form part of the service.

Identify the approval stage before production starts. A useful note is: “Production begins after written approval of the final artwork and dimensions.” Adapt it to your actual process and explain how changes after approval will be reviewed.

Worked example of a signage quote

The following USD prices are illustrative and exclude tax. They demonstrate the document structure, not standard production prices.

ItemQuantityRate (USD)Amount (USD)
Single-sided printed panels, agreed 1200 × 600 mm specification2150300
Artwork preparation, agreed scope16060
Installation at confirmed location1120120
Total before tax480

The production charge is USD 300 and the overall price is USD 480. If installation is excluded from another version of the offer, its total should be USD 360 before tax. Do not leave optional installation in the payable total while labelling it “optional”.

Describe the installation boundaries

Identify the location and agreed mounting arrangement. Explain whether the quote includes removing an old sign, preparing the surface, supplying fixings or arranging access equipment. These tasks should not be silently assumed from the word “installation”.

Where site access or the mounting surface has not been checked, state the assumption and any required review. Do not promise technical suitability or site approvals that you have not assessed. Keep the quotation focused on the services and specifications you can actually confirm.

Make timing depend on clear milestones

A production lead time should have a defined starting point, such as final artwork approval and confirmation of the specification. A phrase such as “ready in seven days” is ambiguous if the customer has not yet supplied the design.

Add the quotation number, date, validity period and delivery or collection arrangement. Explain whether the quoted date is provisional. If the customer changes the quantity or dimensions, update the specification and price together so the document remains internally consistent.

Check and save the quotation

Review dimensions, material, artwork version, quantity, selected options and currency before generating the PDF. Reopen the saved file to check that measurements and item descriptions are readable. Use the invoice PDF generator when a separate invoice is due under the agreed payment arrangement.

Frequently asked questions

Can I combine different sign sizes in one row?

Separate rows are usually clearer when sizes or prices differ. The customer should be able to match each price to a specification.

Should design revisions be unlimited?

State the scope you actually offer. If additional revisions require a new price, explain the approval process before starting them.
