Courier Invoice PDF: Deliveries, Waiting Time and Extra Stops

September 26, 2026

A courier invoice is easier to approve when each charge connects to a completed delivery or an agreed service. A single row saying “transport” may hide several trips, while a long list of unexplained surcharges can make an otherwise correct bill difficult to check.

Identify each delivery, use the agreed pricing basis and list approved extras separately. This guide shows how to build a clear courier invoice PDF without counting the same journey more than once.

Choose the charging basis used in the agreement

Courier work may be priced per trip, per stop, by distance, by time or as a fixed route package. Use the method the customer accepted. Do not combine a full fixed-route price with distance charges already included in that package.

For a per-delivery arrangement, the quantity might be the number of completed deliveries. For a distance-based job, the quantity represents the agreed billable distance, with the unit clearly named. Specify whether return travel is included when that affects the price.

Give each job a recognisable reference

A useful description could read “Delivery D-118 — 26 September 2026 — depot to customer branch.” The exact addresses can remain in the delivery record if the invoice only needs a branch name and delivery reference.

Include information needed for approval without copying unnecessary recipient contact details into a document that may circulate through an accounts team. Where proof of delivery is required, reference the relevant record rather than treating an invoice as proof that the goods arrived.

Worked courier invoice example

Assume a customer agreed to four standard deliveries at USD 18 each, one additional stop at USD 8 and 20 minutes of chargeable waiting at USD 0.50 per minute. The waiting charge applies only after the agreed free allowance has been considered. This example excludes taxes and other adjustments.

ServiceCalculationAmount
Four standard deliveries, references D-118 to D-1214 × USD 18USD 72
Approved extra stop, delivery D-1201 × USD 8USD 8
Chargeable waiting, delivery D-12120 minutes × USD 0.50USD 10
Total before applicable adjustmentsUSD 90

If waiting is billed hourly instead, convert minutes consistently. Twenty minutes is one-third of an hour, not 0.20 hours. Alternatively, use minutes as the unit when that matches the agreed rate and keeps the calculation clearer.

Do not assume every extra is automatically chargeable

Waiting time, tolls, parking, an additional stop or a second delivery attempt should follow the agreed terms and the actual job record. A failed attempt is not the same as a successful delivery, so describe it accurately.

If the customer approved a fixed price inclusive of tolls, do not add tolls again. If reimbursement is separate, keep the supporting receipt or reference where required. Resolve unclear charges before issuing the PDF rather than using vague descriptions to conceal the uncertainty.

One route or separate delivery rows?

A single row works for an agreed route package when the supporting reference identifies the whole route. Separate rows help when delivery prices differ, jobs belong to different branches or the customer approves each job individually.

For larger monthly bills, retain a delivery schedule and reference it clearly. The invoice total should reconcile to the schedule. Do not repeat the full schedule total as a priced row after already entering all the individual charges.

Prepare the courier invoice online

Open the invoice PDF generator and enter your business details, customer information, invoice number and dates. Add delivery rows with the correct quantities and rates, then list any separately agreed extras.

Use Notes for the billing period, supporting schedule and payment instructions. Generate the document and choose the PDF-saving option in the print dialog. Reopen the saved file to confirm that the references and total are readable.

For a proposed regular route or new delivery arrangement, use the quotation PDF generator to explain the charging basis before the first invoice is needed.

Frequently asked questions

Can I group several deliveries on one invoice?

Yes, if the customer accepts that billing arrangement and the supporting details let them identify and check the jobs.

Should the invoice contain proof of delivery?

It can reference the proof-of-delivery record. Keep the record separately and supply it through the customer's requested process when needed.

Create a courier invoice PDF that connects each amount to a clearly identified service.
