How to Record a Partial Invoice Payment with Examples

September 20, 2026

A partial invoice payment is a payment that settles only part of the amount owed. The invoice remains open for the unpaid balance. Recording that distinction clearly prevents two common mistakes: asking for the full amount again and marking the invoice paid too early.

Keep the original invoice connected to every receipt and adjustment. A payment changes the outstanding balance; it does not automatically change the original value of the work or create a new sale.

Calculate the remaining balance

For a simple invoice with no other adjustments: remaining balance = invoice total − payments applied. Where valid credit notes also apply, subtract those separately. Keep payments and credits identifiable rather than merging them into one unexplained deduction.

EventChangeOutstanding balance
Invoice INV-052 issued$1,200 charged$1,200
First payment received−$400$800
Second payment received−$250$550
Final payment still required$550

The customer has paid $650 in total. The remaining amount is $1,200 − $650 = $550. These are fictional figures used to illustrate the record, not bookkeeping instructions for a particular accounting system.

Record each receipt against the correct invoice

  • Confirm that the payment was received, not merely promised.
  • Record its date, amount, currency and payment reference.
  • Match it to the invoice or invoices identified by the customer.
  • Update the amount paid and outstanding balance.
  • Keep the bank or payment-provider evidence with your records.

If a payment covers several invoices, use the remittance details to allocate it. When the reference is unclear, ask the customer which items it settles rather than assuming. Avoid marking an unrelated invoice paid just because its amount happens to match.

Send a clear acknowledgement

“Thank you for your $400 payment received on 8 October against invoice INV-052. The original invoice total is $1,200, leaving $800 outstanding. The remaining balance is due on 22 October under our agreed terms. Please use INV-052 as your payment reference.”

For a second payment, update the cumulative amount paid and remaining balance. The message should not read like a fresh invoice for the original work. You can attach a payment receipt or an updated statement that clearly identifies the existing invoice.

Do you need to issue another invoice?

Usually, receiving a partial payment is a reason to update the payment record for the existing invoice, not issue a duplicate invoice for the same charge. An updated copy can show payments applied and the amount still due, provided it is clearly linked to the original document and follows the requirements of your invoicing system.

A planned stage bill is different. Under milestone invoicing, separate invoices may correspond to different agreed stages. Under a single-invoice arrangement, two instalments normally reduce the same invoice balance. Keep the billing method consistent.

Do not confuse payments with discounts or credits

If the client pays $900 against a $1,000 invoice without an agreed adjustment, the missing $100 is not automatically a discount. Clarify the reason. A pricing correction or agreed reduction may require a separate adjustment process; see credit notes versus invoices.

Similarly, a payment-provider fee is not automatically the customer’s unpaid balance. Distinguish the amount the customer paid from the net amount your provider transferred. Check the fee arrangement and evidence before chasing the client.

Follow up on the actual balance

Use the current unpaid amount and the applicable due date in your reminder. If the customer agrees a revised payment schedule, record it clearly. The unpaid invoice follow-up guide provides wording you can adapt without demanding money already received.

Frequently asked questions

Does a partial payment change the due date?

Not by itself. Use the existing terms unless both parties agree a new schedule.

Can I mark the invoice paid after the first instalment?

Only if that payment and any valid adjustments fully settle it. Otherwise use a partial-payment or open status.

Is a deposit a partial payment?

It can be an advance toward a total, but how it is documented depends on your billing arrangement. Keep it linked to the correct project and invoices.

When preparing the original invoice in the invoice generator, make the total and payment instructions clear from the start.
