Computer Repair Invoice PDF: Diagnostic Fees, Parts and Approved Work

A computer repair invoice PDF should connect the bill to the correct device and explain the work actually completed. A diagnostic visit, replacement part and software setup may all belong to one repair, but they should not disappear into an unexplained total.

Use a device reference without exposing private data

Show the customer and business details, invoice number, issue date, service date and payment due date. Add a workshop reference and an agreed device identifier, such as the make, model and job number. This is particularly useful when an office sends several similar laptops.

Do not include login passwords, recovery codes or descriptions of private files. Technical notes needed for the repair can be kept separately from the customer-facing bill.

Explain the diagnostic charging arrangement

A diagnostic fee may be charged separately, included in a package or credited when a repair proceeds. Use the arrangement the customer accepted. If a fee is credited, make the adjustment visible rather than leaving the client to infer it from a smaller total.

The calculation is 30 + 70 + 60 − 30 = USD 130. If your document format does not support a separate credit row, present the same adjustment clearly in the charges and notes, and check the resulting total. Do not apply the credit twice.

Distinguish parts from optional services

Describe the supplied part using enough detail to identify the agreed specification. List data transfer or other additional work only if it was approved and completed. Installing a drive does not automatically mean every file was transferred, so avoid wording that promises work outside the job record.

Final invoice checks

Compare quantities with the parts record, confirm that package labour is not charged again, and include the agreed payment instructions.
