Consulting Invoice Template: Hourly and Fixed-Fee Examples
September 18, 2026
A consulting invoice translates advice, analysis, meetings, and written deliverables into charges the client can verify. It should make clear whether the fee is hourly, daily, fixed for a project, or part of an ongoing arrangement.
The invoice does not need to repeat your entire report. It needs enough detail for the person approving payment to connect the amount to the agreed work.
Confirm the billing basis before you calculate
Start with the engagement letter or accepted quotation. Check the rate, currency, billing period, expense policy, and any spending limit. If the agreement caps monthly fees, review the cap before preparing the bill.
For hourly engagements, total the approved time records. For daily rates, define what counts as a day or half-day in the agreement. For a fixed fee, use the agreed deliverable and billing event instead of adding an unexpected time-based surcharge.
Hourly consulting invoice example
The following fictional example uses USD and excludes tax. Service dates are 1–15 October 2026, the invoice date is 16 October, and the agreed due date is 30 October.
| Consulting activity | Hours | Rate | Amount |
|---|---|---|---|
| Process review and analysis of client-provided data | 8 | $90 | $720 |
| Stakeholder workshop and agreed preparation | 3 | $90 | $270 |
| Findings report and recommendations | 5 | $90 | $450 |
| Total | 16 | $1,440 |
Use an invoice number such as CON-2026-024 and reference the relevant engagement and approved time summary. Complete the document with seller and client details, payment instructions, applicable tax fields, and the correct client department or purchase order.
Convert minutes to hours correctly
Time entry mistakes can create small but repeated billing errors. One hour and thirty minutes is 1.5 hours, not 1.30 hours. At $90 per hour, the correct charge is 1.5 × $90 = $135. Entering 1.30 would produce $117.
Use the time increments agreed with the client. If the agreement uses quarter-hour increments, keep the underlying start and end times and apply that convention consistently. Do not round every small task upward unless that charging method has been agreed.
How a fixed-fee consulting invoice differs
Suppose the accepted price is $2,000 for a completed procurement review. A suitable line is: “Fixed fee for procurement review and final recommendations report under engagement ENG-031.” You can list deliverables underneath without pricing every meeting separately.
If the client subsequently asks for a second department to be reviewed, treat that as a scope discussion. Confirm the additional fee and delivery date before adding it to the invoice. The original fixed fee should remain traceable to the original agreement.
Handle expenses and confidential information carefully
Show approved travel or other rechargeable costs separately from professional fees. Include a receipt or expense reference and follow the agreed policy on actual costs, mileage, or markups. An expense appearing on a receipt does not by itself mean the client agreed to reimburse it.
Avoid placing employee names, sensitive findings, or confidential strategy details in invoice descriptions. “Workforce planning workshop under ENG-031” is often sufficient; the detailed content belongs in the project records with appropriate access.
Make the approval route simple
Confirm who approves the work and who processes the payment. They may be different people. Send the invoice to the required billing address and include the project contact when appropriate. If a timesheet or completion sign-off is required, attach it with the invoice instead of waiting for a rejection.

Frequently asked questions
Should a consulting invoice list every meeting?
Use the detail needed to verify the agreed fees. A supporting timesheet can hold individual entries while the invoice groups them into understandable categories.
Can preparation time be billed?
Check the engagement terms. In the example, workshop preparation is agreed billable work. Do not assume that every internal activity is chargeable.
Can I use the same template every month?
Yes, but update the invoice number, service period, descriptions, amounts, and due date. A reused layout should not carry forward old client details or old charges.
