Custom Illustration Invoice PDF: Artwork Stages and Revision Charges

September 30, 2026

A custom illustration invoice PDF should show which artwork and approved stage the client is paying for. Sketch development, final artwork and extra versions can belong to the same project while representing different billing events.

Use the invoice PDF generator to turn the final project record into a clear document the client can match to their approval.

Identify the artwork and billing stage

Include your business and client details, invoice number, issue date, due date and project reference. Describe the artwork briefly, such as “three editorial illustrations for the autumn report.” Specify whether the charge covers the full project, an agreed stage or an approved addition.

Do not bill the entire project again when the invoice only concerns its final stage. Keep earlier invoices identifiable and check what has already been charged before entering the current amount.

Describe included revisions precisely

If the package included two rounds of changes, keep those within the package fee. An additional charge should refer to the approved work beyond that allowance, such as a new background concept after final selection. “Extra revision” alone gives the client little context.

A new file size may be a straightforward export or a substantial redraw. Describe the actual service and the price that was agreed rather than treating every exported file as a new illustration.

Worked example for a completed small project

These illustrative USD amounts exclude tax. This example assumes no earlier invoice or payment.

DeliverableCalculationAmount (USD)
Three final illustrations, included revision rounds completed3 × 140420
Approved additional background variation1 × 6060
Total before tax480

The bill is USD 480 before any applicable tax. If a deposit or earlier stage payment exists in your actual project, record it according to the billing arrangement and show the remaining balance clearly.

Reference delivery and usage

List the agreed final file formats or point to a delivery manifest. Reference the accepted usage terms where relevant. Do not imply that editable source files were included if the booking covered only final exports.

Before beginning a new project, use the quote PDF generator to set out the artwork count, stages, revision allowance and selected deliverables.

Frequently asked questions

Should sketches appear as separately priced items?

Only if they are separate billable deliverables. Sketch development can be described as included within a fixed project fee.

Can an invoice cover one approved stage?

Yes. Name that stage and its amount so it cannot be mistaken for the whole project total.

Check artwork references, previous billing and payment instructions, then prepare your illustration invoice PDF. Reopen it to confirm that the scope notes are legible.
