Exhibition Booth Quotation PDF: Build, Hire and Event Services

September 30, 2026

An exhibition booth quotation PDF should distinguish the stand package from hired furniture, graphics and other event services. Those items can have different suppliers, delivery times and return arrangements, even when they appear in one proposal.

Use the quotation PDF generator to show the selected components and the amount the customer is being asked to approve. Begin with the event details and the exact space being supplied.

Identify the event and booth footprint

Record the exhibition name, venue, event dates and booth reference. State width and depth with their units. A three-by-three-metre booth has a nine-square-metre footprint; that figure is different from the area of its walls or printed graphics.

Clarify whether the customer already has the exhibition space and is purchasing only the stand services. A build quotation should not imply that space rental or organiser charges are included when they are outside your offer.

Separate ownership from hire

Label hired counters, stools and other equipment as hire items, with the relevant period and collection arrangement. Identify any graphics or physical products the customer keeps. A package can contain both types, but the quotation should make the distinction understandable.

Confirm whether the hire period includes setup and removal days as well as the exhibition itself. If charges are per event rather than per day, say so instead of using an unexplained quantity.

Worked booth quotation

This example uses illustrative USD prices before tax. It covers the described supplier package only, not every cost of attending an exhibition.

Selected componentQuantityRate (USD)Amount (USD)
3 × 3 m stand package, agreed specification1 event900900
Printed graphic panels, agreed dimensions3 panels80240
Stool hire for the stated event period2 stools2550
Agreed transport, setup and removal service1 package180180
Total before tax1,370

The total is 900 + 240 + 50 + 180 = USD 1,370. If the stand package already includes setup, remove the overlapping portion of the separate service charge. Define the package contents before deciding which rows to add.

Identify dependencies outside your package

State whether venue electricity, internet, organiser fees or other externally supplied services are included. If the customer must arrange a service directly, make that responsibility clear. Do not suggest that paying your quotation settles unrelated venue charges.

Record the artwork approval deadline and required delivery information. Where access or organiser approval is still pending, describe that dependency. Avoid promising that an unapproved booth specification has already been accepted by the venue.

Keep changes under one reference

Add the quote number, version, date and validity. If the customer changes the footprint, graphic count or event period, update the affected quantities and total together. Clearly identify the current version so procurement does not approve an older package.

When an invoice is due, the invoice PDF generator can present the agreed charges with the event and quotation references. Use the accepted package and explain separately approved additions.

Frequently asked questions

Is booth floor area the same as graphic area?

No. Give graphics their own dimensions or specification reference instead of using the booth footprint as their quantity.

Should hired furniture appear as a sale?

No. Label the hire period and return arrangement so the customer understands what is temporary.

Prepare an exhibition booth quote PDF and check the event dates, selected services and saved layout before sending.
