Invoice PDF vs Image: Which File Should You Send?
September 24, 2026
A screenshot may look convenient when a customer asks for a copy of an invoice. However, the file they receive should be complete, readable and easy to keep with their records. The best choice depends on the recipient's requirements and the quality of the document, not simply its filename.
For ordinary invoice sharing, a PDF created from the original document is usually a practical choice. A screenshot can be useful for a quick discussion, but it may crop information, reduce text quality or hide additional pages. Always follow the customer's specified submission format.
How the formats differ in practice
| Check | PDF created from a document | Screenshot or image |
|---|---|---|
| Multiple pages | Can keep the invoice together in one file | May require separate images |
| Text selection | Often possible when text is preserved | May require text recognition |
| Print layout | Can preserve a defined page layout | Depends on image size and cropping |
| Completeness | Still needs a final review | Can omit content outside the captured area |
A PDF is not automatically searchable or accessible. Some PDFs contain only scanned images. Equally, a high-quality image can be readable. What matters is how the file was created and whether it meets the customer's needs.
Why screenshots cause avoidable problems
Imagine an invoice with twelve item rows and payment instructions at the bottom. A screenshot of the visible screen may include only the first eight rows. The customer sees a total without all the supporting charges, or cannot find the payment reference.
Messaging apps may also change how an image is displayed or shared. Check the actual attachment rather than assuming that the preview represents the original file. A small preview is useful for recognition, but it should not be the only copy available for review.
Create the PDF from the invoice itself
With the invoice PDF generator, enter your information, inspect the calculated amounts and select Generate PDF. Use the print dialog's PDF-saving option to keep the finished document. This starts from the document layout instead of a cropped capture of the screen.
Save the file with a recognisable name, such as INV-204-CustomerName.pdf. Then open the saved PDF. Do not assume that clicking the generate button means you have successfully saved a complete file.
Five checks before attaching the invoice
- Pages: Confirm all pages are present and in the right order.
- Readability: Zoom in on small text, totals and payment instructions.
- Text: Try selecting or searching for the invoice number if the recipient needs searchable content.
- Content: Check that no browser controls or unrelated information appear in the output.
- File: Confirm you are attaching the final invoice rather than an earlier draft.
If text is tiny, changing the file extension will not solve the problem. Return to the source document and improve the layout or shorten unnecessary wording before creating a new PDF. A readable two-page document is more useful than one page squeezed until nobody can read it.
When another format is required
Some customers use structured invoice submission systems, while others ask for specific portal uploads or supporting spreadsheets. A normal PDF may be only one attachment in that process. Confirm the requirement instead of assuming every customer can accept the same file.
For quotations, the same completeness checks apply. Use the quote PDF generator to prepare the document, and check that scope, total and validity date are visible together.
Common questions
Does saving an image as a PDF make its text selectable?
Not necessarily. Wrapping an image in a PDF does not by itself turn the picture into document text.
Can a PDF be edited?
Yes, PDFs can be modified with suitable tools. A PDF format alone is not proof of authenticity or a guarantee against changes. Keep your issued copy and the related communication.
Should I send both an image and a PDF?
Usually the requested final document is enough. If you add a preview image for convenience, identify the PDF as the full invoice so the customer knows which file to retain.
Make your invoice PDF online, reopen it and send the complete file using the customer's preferred channel.
