Laundry Invoice PDF: Weight-Based and Per-Item Charges

September 29, 2026

A laundry invoice PDF can become confusing when one order combines washing charged by weight with garments charged individually. The solution is to show the billing unit beside each service and make sure no item is counted under two charging methods.

The invoice PDF generator can present those services in separate rows. Before entering quantities, reconcile the invoice with the order record and the agreed price list.

Start with the collection reference

Add your business and customer details, invoice number, issue date and payment due date. Use the laundry order reference to connect the bill with the collection or drop-off record. Include the relevant service date or billing period, particularly for regular commercial customers.

If several collections are included, show which order each amount relates to. An unexplained monthly total gives the customer no way to check a missing bag or a different service choice.

Make each charging unit explicit

A wash-and-fold row might use kilograms, while ironing uses a garment count. Write “wash and fold, 6.5 kg” and “shirt pressing, four shirts” rather than giving both rows a bare quantity. Decimal weight and whole-item counts represent different measurements.

Confirm the weighing and minimum-charge arrangement before providing the service. If the business applies a minimum load charge, explain how the amount was reached. Do not present the minimum billable quantity as if it were the actual measured weight.

Worked example with mixed units

These illustrative USD figures exclude tax. The example assumes the four shirts and duvet are separate from the wash-and-fold load.

ServiceQuantityRate (USD)Amount (USD)
Wash and fold, order L-3026.5 kg4 per kg26
Shirt pressing only4 shirts3 each12
Duvet cleaning, agreed size11818
Agreed delivery fee1 delivery55
Total before tax61

The weight-based amount is 6.5 × 4 = USD 26. Adding USD 12, USD 18 and USD 5 produces USD 61. If a package includes delivery, remove the additional delivery charge. If the duvet was weighed separately, ensure it was not also included in the 6.5 kg.

Explain service upgrades before billing

Separate a standard service from an approved upgrade, such as a faster turnaround or an additional treatment. Identify whether an express charge applies once to the order or individually to each item. Those two methods can produce substantially different totals.

An invoice should report the service supplied, not introduce a price change the customer has not accepted. If an item could not receive the requested service, resolve how it will be returned or charged before finalising the bill.

Use a quotation for a recurring commercial order

For an office, salon or accommodation provider, the quotation PDF generator can document the proposed units, collection frequency and selected services. Confirm whether quantities are fixed or whether each invoice follows actual accepted collections.

Keep the underlying collection records even when the invoice summarises the month. A PDF billing document does not replace your item or bag tracking system.

Check the saved PDF

Review order references, units, measured quantities, minimum charges and the currency. Check that payment details are readable and that a delivered order is not confused with a paid order. Save the generated document as a PDF and reopen it before sending.

Frequently asked questions

Can weight-based and per-item services share an invoice?

Yes. Use different rows and explicit units, and keep the quantities free of overlap.

Should a delivery fee apply to every garment?

Only if that is the actual agreed pricing method. A per-delivery fee should normally appear once for the relevant delivery.

Create a laundry invoice PDF that makes every weight, item and service charge understandable.
