Quotation Acceptance Checklist Before You Create an Invoice
September 24, 2026
A customer replies “approved” to a quotation email. You are ready to start, but which version did they approve? Did they choose the optional extra? Is the first invoice for the whole project or only an agreed stage? Checking these details now can prevent conflicting documents later.
Before creating an invoice, confirm the accepted quotation version, selected scope, agreed amount and the point at which payment becomes due. Acceptance of a quote and entitlement to bill the entire amount are not automatically the same event.
Identify the exact offer
Record the quotation number and version. If you sent QT-041 followed by QT-041-R1, the acceptance should identify the current version. A customer may have forwarded an older attachment internally without noticing the change.
Check that the accepted PDF is the same document you are using to prepare the invoice. File names help, but the quotation number, date, scope and total inside the document provide the essential connection.
Confirm scope and optional selections
Review quantities, deliverables, selected extras and exclusions. A customer can accept the base package while declining an optional service. Do not invoice all the options simply because they appeared somewhere in the quotation.
For example, a quote may show a base service of USD 900 and an optional training session of USD 150. If only the base service is accepted, the agreed scope is USD 900 before any stated adjustments. The existence of the training option does not make USD 1,050 payable.
Keep a short acceptance record
| Record | Illustrative entry |
|---|---|
| Quotation | QT-041-R1, dated 24 September 2026 |
| Selected scope | Base service; training not selected |
| Agreed price | USD 900 before any applicable stated adjustments |
| Customer confirmation | Saved email identifying the selected version |
| Billing arrangement | Invoice after the agreed completion milestone |
This is an operational record, not a statement that a particular form of acceptance is legally sufficient in every situation. Follow the agreed process and any requirements relevant to your transaction.
Check the billing stage before copying the quote
A quote may cover an entire project while the next invoice covers only a deposit, a milestone or completed work. Read the payment arrangement rather than assuming the quotation total should become the amount due immediately.
If the agreement requires a completion invoice, retain the acceptance now and issue the invoice at the relevant stage. If an advance payment is agreed, describe that purpose accurately. Keep records of amounts previously billed or paid so that the same charge is not requested twice.
Use Copy to Invoice as a starting point
The quote PDF generator includes a Copy to Invoice button. It transfers quotation information to the invoice tool on the same device, which can reduce re-entry. It is still necessary to review the resulting document.
- Confirm that the source quotation is the accepted version.
- Remove any unselected options from the chargeable scope before transfer.
- Use Copy to Invoice.
- Check the invoice number, issue date and due date.
- Review descriptions, quantity, currency, discounts and the amount billable at this stage.
- Replace quotation-specific notes with appropriate invoice notes.
- Save and reopen the finished PDF before sending.
In particular, “valid for 15 days” is a quotation term, while a payment due date has a different purpose. Do not let copied text create conflicting instructions.
Check the recipient and submission process
The person who approved the work may not be the person who processes invoices. Confirm the billing entity, accounts contact, PO reference and any portal requirement. A correctly calculated invoice can still be delayed if sent to the wrong place.
Common questions
Does an accepted quote mean I should invoice immediately?
It depends on the agreed payment arrangement and billing event. Check whether the next amount is an advance, a stage payment or a completion invoice.
What if the customer changes the order after acceptance?
Document the revised scope and price and obtain the required agreement before billing the change. Keep the original acceptance and the amendment connected.
When the agreed billing stage is reached, create the invoice PDF from the confirmed details and review it against your acceptance record.
