Web Development Invoice Template with Project Examples

September 18, 2026

A web development invoice should separate the website work you completed from hosting, licences, maintenance, and extra requests. A single line saying “website work” can make it difficult for a project manager to confirm the bill or send it to finance for payment.

The clearest invoice follows the accepted statement of work. It identifies the website or project, the relevant delivery stage, and the amount being billed now.

Choose the right billing description

For a fixed-price build, describe the agreed deliverable rather than reconstructing every development hour. For hourly work, show the period, hours, and hourly rate. For milestone billing, state the milestone and its agreed completion or approval trigger.

  • Fixed project: “Five-page business website build under SOW-WEB-018.”
  • Hourly support: “Checkout bug investigation and fixes, 6 hours at $70, 1–7 October.”
  • Milestone: “Milestone 2: staging website delivered for acceptance testing.”

Use the approach in the contract. Do not convert a fixed fee into an hourly bill after the work has been completed simply because the project took longer than expected.

Web development invoice example

This fictional USD example bills a completed build and separately approved extras. No earlier invoices or payments exist for this example, and tax is excluded.

Invoice: WEB-2026-018
Client: Example Retail Ltd
Project: Business website / SOW-WEB-018
Issued: 8 October 2026
Due: 22 October 2026

ItemCalculationAmount
Five-page website build, including agreed testing and deploymentFixed fee$1,800
Additional booking integration, change request CR-024 hours × $75$300
Approved plugin licence recharge, receipt PL-0181 × $80$80
Total before applicable tax$2,180

Add the supplier and client billing details, payment instructions, purchase order reference where required, and any applicable registration or tax fields. The plugin line should match the cost treatment agreed with the client.

Separate hosting and subscriptions from development

A completed website is a project deliverable. Hosting and software subscriptions usually relate to a service period. Mixing them into one unexplained amount makes renewal costs harder to understand.

If you bill hosting, identify the hosting period and the package. If the client pays the hosting provider directly, do not include that payment as your own invoice charge. Record who owns the account and who is responsible for renewals in the handover information.

For maintenance, specify the period and covered work, such as updates, backups, or a stated allowance of support time. Do not imply that unlimited changes are included when the support agreement has a defined scope.

Document change requests before billing

A request to add a booking system can change both price and delivery time. Save a short approval record containing the requested feature, additional charge, timeline impact, and approval date. Reference that record on the invoice.

For example: “Booking integration added under CR-02, approved 30 September 2026.” This is more useful than “miscellaneous development.” If approval is still pending, resolve the scope question before treating the extra as an agreed charge.

Connect billing to acceptance and delivery

Check whether the agreement allows billing on delivery to staging, client approval, deployment, or another event. A website being technically complete does not automatically mean every billing condition has been met.

Keep the delivery email or acceptance record with the invoice. Where client content or approvals delay launch, follow the agreed process for delays instead of inventing a new payment trigger on the invoice.

Use a concise invoice note

This invoice covers the website build under SOW-WEB-018 and the approved additional work listed above. Ongoing hosting and maintenance are excluded unless separately stated. Please quote WEB-2026-018 when making payment.

Frequently asked questions

Should hosting be a separate invoice?

It can be separate or appear as a clearly identified line on a combined invoice. The important points are the service period, price, and responsibility for renewals.

Should I attach my full timesheet?

Attach the detail required by the agreement or the client's approval process. For fixed-price projects, a deliverable summary may be more relevant than internal time records.

What if the client asks for a purchase order number?

Obtain the correct reference from their purchasing contact and check that it covers the work being billed. Avoid making up a PO number or using one from an unrelated project.
