Window Cleaning Quotation PDF: Pane Counts, Access and Frequency
September 30, 2026
A window cleaning quotation PDF should make the counting method clear. A customer may call a whole framed opening one window, while a price list may count each pane. Without a shared definition, even a correct multiplication can lead to a disagreement.
The quotation PDF generator can present a clear scope and price once the property and counting basis are confirmed. Use descriptions that let the customer match the quote to the actual work.
Define what one unit means
Specify whether you charge per opening, pane, area, visit or whole property. If you use pane counts, explain how those panes have been counted. Where inside and outside surfaces carry different prices, keep the services separate.
Record the property address and the areas covered. A schedule such as “front ground-floor windows, exterior only” is clearer than “window cleaning”. Identify different sections separately when their service or price differs.
Describe the included cleaning scope
State whether frames, sills and other selected components are included. A quotation for glass alone should not imply that every surrounding surface will be cleaned. List separately requested tasks only when they have been assessed and priced.
Explain the access assumptions supporting the quote. For example, if internal cleaning depends on the customer clearing access to the windows, include that requirement. Do not promise work at a location that has not been assessed simply because the item is on a standard price list.
Worked example for one visit
The following USD prices are illustrative and exclude tax. Each counted pane receives one exterior service and one interior service under the stated scope.
| Service | Quantity | Rate (USD) | Amount (USD) |
|---|---|---|---|
| Exterior glass cleaning, agreed pane schedule | 20 panes | 3 | 60 |
| Interior glass cleaning, same pane schedule | 20 panes | 2 | 40 |
| Selected screen cleaning | 5 screens | 4 | 20 |
| Total per visit before tax | 120 | ||
The total is USD 60 + USD 40 + USD 20 = USD 120 per visit. The interior and exterior rows are different services, not duplicate charges. However, if an inclusive rate already covered both sides, charging those sides again would be wrong.
Separate frequency from quantity
A price per visit is not automatically a monthly charge. State the proposed interval and whether a longer-period total is only an illustration or a firm package. Four visits at USD 120 would be USD 480 before tax, but a monthly calendar does not always contain exactly four weekly visits.
Explain whether an initial visit is priced differently from later visits and why. A first-visit preparation charge should be identified clearly rather than hidden in an unexplained change of rate.
Confirm the selected services
Include the quote number, date, validity and booking arrangement. If the customer removes interior cleaning, update both the scope and total. Keep unselected extras outside the main price so the customer can see what acceptance covers.
Use the invoice PDF generator after the relevant visit or at the agreed billing stage. Match the invoice to the services actually provided and explain any approved changes.
Frequently asked questions
Is a window the same as a pane?
Not necessarily. Define your counting unit and use the same method in the quote and invoice.
Should recurring visits be shown as one annual total?
Only when that reflects the offer. Otherwise show the per-visit price and explain the planned frequency separately.
Prepare your window cleaning quote PDF, then verify the property, service schedule and total in the saved file.
