Appliance Repair Invoice PDF: Diagnosis, Labour and Parts
September 26, 2026
An appliance repair bill should show what was inspected, what was repaired and which parts were supplied. A customer who sees only “repair service” may not understand whether the amount covers the visit, the diagnosis or the completed repair.
Separate diagnostic work, repair labour and replacement parts when they are distinct agreed charges. Identify the appliance and job reference so the customer can connect the invoice with the work. Our invoice PDF generator lets you enter those details as itemised rows and save the finished document as a PDF.
Identify the appliance without overcrowding the invoice
Include the appliance type, brand or model when useful, service date and job number. For a customer with several similar machines, an asset reference or location can distinguish the repaired item. Only include serial-number details if they are needed for the job record.
A useful description is “Washing machine drain-pump replacement — job AR-118 — service date 26 September 2026.” A longer fault report can remain in the service record, with its reference included in Notes.
Distinguish diagnosis from approved repair work
A diagnostic visit investigates the fault. A repair fixes an agreed problem. The customer may approve the first without yet approving the second, so keep the approval stages clear.
Before adding repair labour or parts, check the accepted price and scope. If a part was proposed but not fitted, it should not appear as a supplied item merely because it was discussed during diagnosis. Where approval is still pending, prepare the proposed work using the quotation PDF generator.
Worked appliance repair invoice example
Assume the customer approved a USD 45 diagnostic fee, 1.5 hours of repair labour at USD 60 per hour, and a USD 75 replacement pump. These illustrative prices exclude tax and other adjustments; they are not suggested market rates.
| Invoice item | Quantity | Rate | Amount |
|---|---|---|---|
| Diagnostic visit — job AR-118 | 1 visit | USD 45 | USD 45 |
| Approved repair labour | 1.5 hours | USD 60 | USD 90 |
| Replacement drain pump | 1 part | USD 75 | USD 75 |
| Total before applicable adjustments | USD 210 | ||
The labour amount is 1.5 × 60 = USD 90. Do not enter “1.30” for one hour and thirty minutes: decimal hours and clock notation are different. If the repair was agreed as a fixed package, use the package price instead of adding hourly charges already included in it.
Handle an included diagnostic fee clearly
Some businesses agree that the diagnostic fee will be included in the repair price. If that is the offer, the final document must not charge the customer twice for the same included work.
For example, if an agreed USD 165 repair package includes diagnosis, describe that inclusion in the package row or notes. Do not add another USD 45 diagnostic charge unless the agreement actually makes it additional. If the diagnostic visit was already invoiced or paid, reconcile that document separately before preparing the later bill.
Build the invoice PDF step by step
- Enter your business details and the customer's billing information.
- Add an invoice number, issue date and agreed payment due date.
- Use Reference for the job number and include the appliance description in the relevant rows.
- Add only the agreed charges for work and parts being billed.
- Write useful service notes and payment instructions.
- Choose Generate PDF and save the document through the print dialog.
- Reopen the saved file and compare the total with the approved job record.
Keep fault findings separate from payment instructions. If you provide a service report or specific warranty information, reference the actual document rather than inventing generic promises in the invoice.
Frequently asked questions
Should I list the replacement part separately?
Usually yes when it is priced separately. For an agreed all-inclusive repair package, explain which part is included without charging it again.
Can I invoice only the diagnostic visit?
Yes, where that fee was agreed and is payable under the arrangement. Describe it as diagnosis rather than suggesting a repair was completed.
What if several appliances were repaired?
Group each appliance's charges by a recognisable job or asset reference. Make it possible to tell which labour and parts belong to each machine.
Create an appliance repair invoice PDF with clear job references and an itemised explanation of the amount due.
