How to Quote One-Time Setup and Monthly Fees in a PDF

September 24, 2026

A service costs USD 300 to set up and USD 120 per month to maintain. If the quotation simply shows a total of USD 420, the customer may wonder whether that is the monthly price, the first payment or the complete contract value.

Separate one-time setup charges from recurring fees and state exactly which period the main total covers. A clear quotation should let the customer identify both the initial cost and the continuing cost without doing detective work.

Identify three different amounts

The setup fee pays for the defined initial work. The recurring fee pays for a specified service period. The first-period total combines whichever charges actually apply at the start.

If there is a minimum term or annual commitment, explain it separately. A first-month total does not communicate the cost of a twelve-month commitment. Equally, a twelve-month illustration is not a promise that the customer has agreed to a fixed annual contract.

Worked example: setup plus monthly support

Assume a business offers a one-time setup for USD 300 and support at USD 120 per month. The example below excludes tax and other adjustments and assumes a full first month.

ChargeFrequencyAmount
Initial setupOnceUSD 300
Support for the first monthOne monthly periodUSD 120
First-period totalSetup plus first monthUSD 420
Later monthly supportEach further agreed monthUSD 120

If the customer commits to twelve full months, the arithmetic before adjustments is USD 300 + (12 × USD 120) = USD 1,740. Whether that amount is payable upfront or in instalments is a separate payment arrangement that must be stated.

Choose what the quoted total represents

For a quote covering setup and the first month, use two priced rows in the quotation PDF generator: one setup item and one first-month service item. The main total then represents those charges.

Add a note such as: “This total covers one-time setup and the first full monthly service period. Subsequent support is USD 120 per month under the agreed service terms.” State the actual dates when known.

If the quote instead covers a fixed twelve-month package, enter the agreed twelve-month scope and explain the payment schedule. Do not show a first-month amount as if it were the full committed price.

Describe the recurring service, not just its frequency

“Monthly fee” explains when you charge, but not what you provide. Describe the included activities, limits and service period. For example: “Monthly support package — scheduled checks and up to two hours of assistance.”

If unused hours do not carry forward, or extra work needs separate approval, make the agreed arrangement clear. Do not silently assume a rollover policy or charge for unlimited support when the offer contains a defined allowance.

Explain starts, part-months and changes

Identify when monthly billing begins: the start of service, completion of setup or another agreed event. If service begins halfway through a month, state whether you charge a full period or an agreed prorated amount.

For illustration, a USD 120 fee prorated for 15 days of a 30-day billing month would be USD 60 if that is the agreed method. It is not a universal rule. Some arrangements use a different calculation or begin a full monthly period on the service start date.

State any agreed minimum term, renewal process and cancellation notice clearly. Use the terms actually agreed for the service rather than inserting generic conditions that do not fit the transaction.

Keep later invoices consistent

The first invoice PDF should reflect the approved initial charges at the agreed billing stage. Later invoices should not repeat the setup fee unless a separate new setup service is actually agreed.

Include the service period in each recurring invoice description. A PDF generator prepares documents; it should not be assumed to schedule future invoices or collect payments automatically. Keep a separate billing reminder and payment record when you manage the process manually.

Common questions

Should I put twelve months in the quantity field?

Only when the priced line genuinely represents twelve agreed monthly units. For a first-month quote, use the actual first-period quantity and describe future charges separately.

Can the setup fee be waived?

If that is your offer, show it clearly and ensure the total matches. Explain any conditions before the customer accepts.

Create a quote PDF with separate setup and monthly charges so the customer understands the initial payment and ongoing cost.
