Pet Sitting Invoice PDF: Visits, Overnight Stays and Extra Pets

September 26, 2026

A pet sitting invoice PDF should answer three questions quickly: which dates were covered, what type of care was provided and how the total was calculated. This matters when an owner books a mixture of short visits and overnight stays.

The invoice PDF generator can help organise those services into clear rows. Start with the completed booking record rather than relying on the original enquiry, especially if travel dates changed.

Separate visits from overnight stays

State the unit for every service. “Five visits” and “five days” do not necessarily describe the same booking. If you charge by the visit, include the agreed visit length and dates. If you charge by the night, describe the overnight period and what care that package includes.

For example, “Three 30-minute home visits, 4–6 October” explains more than “pet care, quantity three”. An overnight package might already include an evening feed and a morning walk. Those included tasks should not appear again as separately charged visits.

Include useful booking details

Add your business details, the customer’s billing details, a unique invoice number, issue date, due date and booking reference. A pet name can help the owner recognise the booking. Keep access instructions, alarm codes, key locations and detailed care notes out of the invoice.

For multiple pets, state whether the base rate covers one pet or the whole household. If an additional-pet charge was agreed, give its unit explicitly. A charge per night should not accidentally be multiplied by the number of daytime visits.

Worked example with two service types

The following USD rates are illustrative and the calculation excludes tax. It assumes the daytime visits and overnight stays cover different periods.

ServiceQuantityRate (USD)Amount (USD)
30-minute visits, 4–6 October3 visits2060
Overnight care, nights of 8 and 9 October2 nights55110
Second pet supplement for overnight care2 nights816
Total before tax186

The total is 60 + 110 + 16 = USD 186. The extra-pet supplement applies to two nights, not all five service units. If the accepted overnight price already covers both pets, remove the supplement.

Review changed or cancelled dates

Compare the invoice with the final booking calendar. Remove visits that were not provided unless a separately agreed cancellation charge applies. If such a charge is due, identify it honestly as a cancellation charge rather than describing it as completed care.

For an extended stay, agree the additional dates and rate before adding them. A concise record of the owner’s request helps both sides understand why the final invoice differs from the initial booking. Apply any previously received payment accurately and make the remaining amount clear in your records and document.

Create the PDF from the confirmed services

  1. Enter the customer and invoice details.
  2. Use separate rows for visits, overnight stays and agreed extras.
  3. Put date ranges and the billing unit in each description.
  4. Check that package inclusions have not been charged twice.
  5. Confirm currency and payment instructions, then save the generated document as a PDF.

For the next booking, use the quote PDF generator to present the proposed dates and care arrangement before the owner accepts. The quotation and final invoice should be easy to compare.

Frequently asked questions

Can one invoice cover a week of visits?

Yes. List the dates and total number of visits, or use separate rows where the rate or service differs.

Should I include the owner’s door code?

No. An invoice is a billing document. Keep access information in your separate care instructions.
