Video Editing Quotation PDF: Scope, Versions and Revisions

September 26, 2026

“Edit one video” can describe a simple trim or a substantial production. Raw footage length, the finished runtime, subtitles, graphics and social-media versions all affect the work involved. A useful quotation makes those choices visible before the customer approves the price.

Define the input footage, final deliverables and included revision rounds, then price the agreed scope. Our quotation PDF generator can present the itemised offer and its notes in a document the customer can save and review.

Define what you will receive and deliver

Record the expected amount and condition of the source material. Thirty minutes of organised footage with a clear brief is different from hours of unsorted recordings. Identify who supplies the script, brand assets and any required music or footage permissions.

For the output, specify the number of finished videos, approximate runtime, aspect ratios and file formats. “One 60-second landscape video plus one vertical adaptation” is clearer than “video with social versions.” State whether the adaptation involves a simple reframe or a separately edited sequence.

Separate the main edit from additional deliverables

Use a base editing row for the agreed main video. Add separately priced captions, graphics or adaptations only when those services are genuinely additional. If captions are included in the base package, mention that inclusion rather than billing them again.

A quotation should distinguish the number of outputs from the number of editing hours. For a fixed-fee project, quantity one at the project price is usually easier to understand than an invented hourly breakdown that was never part of the agreement.

Worked video editing quote example

Suppose the agreed offer includes one main edit at USD 350, two short adaptations at USD 60 each and one subtitle file at USD 40. These are illustrative figures, before tax or other applicable adjustments.

DeliverableQuantity × rateAmount
Main edit, up to 60 seconds, from the agreed source footage1 × USD 350USD 350
Two agreed short adaptations2 × USD 60USD 120
Subtitle file for the main edit1 × USD 40USD 40
Quoted total before adjustmentsUSD 510

If the adaptations are optional and have not been selected, keep them outside the base payable total and label their prices as optional. Prepare the selected version of the quote when the customer confirms what they want.

Explain a revision round in plain language

“Two revisions included” can be interpreted in several ways. Clarify whether a round means one consolidated list of feedback on a delivered draft. Identify the type of changes covered by the agreed scope.

For example: “Includes two rounds of consolidated feedback on the agreed edit. A new script, replacement source footage or additional deliverables will be reviewed and priced separately before work begins.” Adapt this to your actual offer rather than using it to exclude ordinary corrections you already agreed to provide.

State the dependencies behind the schedule

Explain when the first draft is expected and what starts the clock. A practical schedule may begin only after the agreed brief, footage and brand assets are received. Final delivery can depend on when the customer supplies consolidated feedback.

Put the quotation expiry in Valid Until and the production schedule in Terms & Conditions or Notes. They describe different events. If the customer has a fixed launch date, check that the review and revision timetable can support it.

Create the quotation PDF

  1. Add business and customer details in the quote generator.
  2. Choose the agreed currency and enter a quotation reference.
  3. Add the main edit and each selected additional deliverable.
  4. Describe source-footage assumptions, revision rounds and the schedule.
  5. Check whether project files, licensed assets or ongoing storage are included.
  6. Generate the document, save it as a PDF and inspect every page.

When the quote is accepted, keep the selected version with the approval. Use the invoice PDF generator at the agreed billing stage, checking the invoice dates and payment wording rather than copying quotation terms unchanged.

Frequently asked questions

Should vertical and landscape versions be separate rows?

Use separate rows when they are separately priced. For an inclusive package, list the included versions clearly in its description.

Are source project files automatically included?

Do not assume they are. State the agreed deliverables and any arrangement for project files before the customer accepts.

Create a video editing quote PDF with an explicit scope, selected outputs and a clear total.
