IT Support Quotation PDF: Devices, Setup and Support Limits
September 26, 2026
An IT support quotation needs to explain both the work being priced and the systems it covers. “Office support” is too broad if the customer expects help with every device, every application and every future problem for one small fee.
State the device count, included tasks, support period and limits behind the price. Use the quote PDF generator to turn those details into an itemised offer with clear terms and a readable total.
Start with a defined inventory and task list
Identify the types and numbers of devices included, such as six workstations and one network printer. Add an inventory reference if the customer has one. You do not need to place passwords, access keys or other sensitive credentials on a quotation.
Describe the work in terms the customer understands: workstation setup, printer connection, application installation or a scheduled support session. If assessment is needed before a fixed price can be confirmed, explain that rather than promising an undefined repair for a firm amount.
Separate implementation work from ongoing support
Initial setup is a defined job. Ongoing support is a service over an agreed period. They can appear in one quotation, but the customer should be able to see what is a one-time charge and what could recur.
For a support allowance, explain whether the price covers a fixed number of hours, named tasks or a broader package. State how additional work will be approved. Do not describe a limited allowance as unlimited support.
Worked small-office quotation example
Suppose a supplier quotes six workstation setups at USD 45 each, one printer setup at USD 50 and a two-hour remote handover session at USD 40 per hour. The example excludes hardware, software licences, taxes and other adjustments.
| Quoted service | Calculation | Amount |
|---|---|---|
| Workstation setup, six listed devices | 6 × USD 45 | USD 270 |
| Network printer setup | 1 × USD 50 | USD 50 |
| Remote handover session | 2 hours × USD 40 | USD 80 |
| Total before applicable adjustments | USD 400 | |
The two-hour handover is part of this quoted project, not an open-ended monthly allowance. If the customer wants continuing support, provide a separate defined offer or an additional section clearly stating its service period and price.
Clarify hardware, licences and customer inputs
State whether hardware and licences are included, supp
lied by the customer or quoted separately. The customer should not have to infer this from the absence of a hardware row. If a task depends on an active licence, supported equipment or suitable network access, identify that dependency.Keep exclusions specific. For instance, “Hardware replacement, data recovery and new network cabling are outside this setup quote” is more useful than “all other work excluded.” The wording should reflect the actual project, not serve as a substitute for understanding it.
Be precise about support availability
For any ongoing service, distinguish the hours when requests can be raised, the target response time and the expected resolution process. A response target does not mean every technical issue can be fixed within the same period.
Only include service commitments you actually offer. Explain whether remote support, on-site attendance, travel or out-of-hours work is included. If spare hours expire or carry forward, state the agreed arrangement clearly.
Build and review the quote PDF
- Enter business and customer details and a quotation number.
- Select the currency and add each defined service.
- Use device counts or hours consistently with the agreed rates.
- Add the supported inventory reference and important assumptions in Notes.
- Set the offer's validity date and explain the proposed work schedule separately.
- Generate the PDF and check that scope, exclusions and totals are visible.
Have the customer confirm changes to device numbers or scope before work starts. After acceptance, retain the approved version. At the agreed billing stage, prepare the corresponding invoice PDF using descriptions the customer can match to the quotation.
Frequently asked questions
Can one quote cover several office locations?
Yes, if the covered locations, device counts and travel arrangements are clear. Separate rows can help where different sites have different charges.
Should I include login details in the quotation?
No. A quotation is a commercial document. Arrange any necessary access through an appropriate separate process.
What happens when the customer adds devices?
Review the extra scope and agree any change in price or support coverage before treating those devices as included.
