Product Photography Invoice PDF: Products, Final Images and Retouching

September 30, 2026

Product photography has several possible billing units: products, shooting sessions, selected images and retouching hours. A useful product photography invoice PDF makes the chosen unit explicit so the client can connect the price to the delivered catalogue images.

The invoice PDF generator gives you a place to present the completed work with clear descriptions and amounts.

Keep product counts separate from image counts

Ten products photographed from three angles can produce thirty final images. That does not necessarily mean thirty separately priced products. Start with the accepted charging basis and describe it consistently throughout the invoice.

Include the usual billing details and dates, a project reference, and the relevant product list or catalogue batch. Where product codes are lengthy, reference the agreed delivery manifest instead of forcing every code into a single row.

Show what the package included

A package description could state “eight products, three final images each, standard background cleanup included.” This explains both the product quantity and the expected twenty-four deliverables. Extra retouching should describe the additional work, not repeat an included cleanup task under a new name.

Worked invoice example

These USD prices are illustrative and exclude tax. They assume the additional retouching was approved separately.

Completed serviceCalculationAmount (USD)
Eight-product package, 24 final images8 × 45360
Additional detailed retouching2 hours × 4080
Agreed prop purchase1 × 2525
Total before tax465

The total is USD 465. Charging another twenty-four image fees would duplicate the package unless the booking explicitly uses a separate image-selection charge. Check the pricing model before generating the PDF.

Link the bill to the approved delivery

State the delivered file formats, batch reference or approved selection where helpful. Reference the agreed usage arrangement without adding new rights or restrictions through invoice wording. Also clarify any separately agreed product-return shipping charge.

For an upcoming shoot, use the quote PDF generator to define angles, backgrounds, image quantities and selected extras before the session.

Review before sending

  • Match the billed product count to the completed batch.
  • Check that included retouching is not charged twice.
  • Confirm approved expenses and the payment due date.
  • Reopen the PDF and read the package description at normal size.

Frequently asked questions

Should unused test shots be counted as final images?

Use the agreed delivery definition. Test shots should not silently increase a bill based on selected final images.

How should reshoots be described?

Identify the affected products and the approved reason and price. Keep any included correction separate from chargeable new work.

Make a product photography invoice PDF that matches the package and delivered selection.
