How to Show Currency Clearly on an Invoice PDF
September 24, 2026
An invoice for “$500” can be unclear when the supplier and customer operate in different countries. Several currencies use a dollar symbol. Even within one country, a customer may have agreed to pay in a different currency for a particular project.
State the agreed currency clearly and use it consistently throughout the invoice. The currency code, such as USD, CAD or AUD, removes ambiguity that a symbol alone may leave. Selecting a currency label is separate from calculating an exchange rate.
Agree the currency before preparing the invoice
Start with the accepted quote, purchase order or written agreement. Check both the amount and the currency. If the quote says USD 500, do not change the invoice to another currency without agreeing the revised payment amount.
The quotation PDF generator provides a currency selector so you can state the pricing basis before the customer accepts. Keep that information consistent when preparing the later invoice.
A simple example of a currency mismatch
Suppose a supplier agrees a design package at CAD 800. If the invoice displays USD 800, the number has stayed the same but the requested payment has changed. This is not merely a formatting issue.
The correct document should show the agreed CAD 800 amount unless the parties approve another arrangement. Selecting USD in a form should never be treated as an instruction to convert CAD 800 automatically.
| Item to confirm | Example |
|---|---|
| Agreed invoice currency | CAD |
| Agreed project price | CAD 800 |
| Invoice note | All amounts on this invoice are in Canadian dollars (CAD). |
| Payment reference | INV-205 |
Keep one clear currency for the payable total
For a straightforward invoice, use one agreed currency for the line items and total. If you need to display an equivalent amount for reference, label it clearly so the customer does not interpret both amounts as payable.
A reference conversion should state the rate, date and purpose when relevant. Do not present a converted figure as a guaranteed amount the recipient's bank will charge. Bank rates, timing and fees may differ from a reference calculation.
If your transaction requires more complicated currency or reporting information, use a process that supports those requirements rather than forcing multiple payable totals into a simple invoice layout.
Use the currency selector carefully
- Open the invoice PDF generator.
- Select the currency agreed with the customer before entering prices.
- Enter each quantity and rate in that currency.
- Review any discounts or additional charges in the same currency.
- Add a note stating the currency code when it helps avoid doubt.
- Generate the PDF and check the displayed total against your agreement.
Check the selection on every new document. A default currency is only a starting value, not confirmation of your customer's agreement. The same caution applies when using copied details from an earlier quotation.
Make payment instructions consistent
Tell the customer which approved payment method to use and include the reference needed to identify the payment. Confirm with your payment provider that the account or method can receive the agreed currency before giving instructions.
Discuss transfer charges before billing rather than introducing a surprise fee in the invoice notes. Any agreement about who pays charges should be clear and consistent with the transaction terms.
Common questions
Is a dollar sign enough?
It may be understood locally, but a currency code is clearer when there is any possibility of confusion. “USD 500” is more specific than “$500.”
Does changing the currency selector convert my prices?
Do not assume it does. Enter prices in the selected currency and check them against the agreed amount. Currency labelling and exchange-rate conversion are separate tasks.
What if the customer requests another currency after receiving the invoice?
Agree the amount and handling of the original document before issuing a replacement. Avoid leaving two different versions that both appear to request payment.
Prepare a clearly labelled invoice PDF and verify the currency before you send it.
